Administrative Assistant and Registrar Job Description (Fall 2025)

CU Science Discovery is a science, technology,Â
engineering and math (STEM) education outreachÂ
program at the Î÷¹ÏÊÓÆµ. Science Discovery manages programs that engage K-12 students and teachers in STEM and connect public audiences with current STEM research at CU Boulder and CU Anschutz. Science Discovery programs utilize CU scientific expertise, equipment, resources and faculty, graduate and undergraduate students to provide participants with engaging and impactful STEM learning experiences.
Responsibilities of this position include, but are not limited to the following:
- Provide general administrative support for Science Discovery’s STEM outreach and engagement programs, including the Summer Camp program, community outreach events, School and Teacher programs, and Out of School Time programs.
- Manage Science Discovery’s main phone line and email inbox. Tasks will include communicating with the public, Science Discovery families, schools, teachers, and community partners in a timely, effective and professional manner.
- Support registration for Science Discovery programs, including processing registrations made by phone, mail or in-person, reviewing student registration information (including medical information, learning differences, behavioral conditions, etc.), preparing registration reports, and other administrative tasks associated with program registrants.
- Communicate effectively with customers, staff, and community partners, always providing high quality customer service and professionalism.
- Support Science Discovery's scholarship program by assisting with the scholarship application and registration processes for CU Boulder and CU Anschutz applicants.
- Provide support at community engagement events, including preparing activity materials, welcoming and engaging with families, and helping with set up and take down.
- Assist materials coordinator and other Science Discovery staff with preparation of materials for activities and events, as needed.
- Provide support with other miscellaneous administration tasks as assigned by Science Discovery staff.
Requirements of this position include:
- Ability to work efficiently with minimal supervision.
- Outstanding customer service skills, both written and verbal.
- Excellent phone communication skills and the ability to keep a detailed phone log.
- Ability to assess the scope and manage the outcome of occasionally challenging customer service situations involving parents/guardians of students.
- Ability to manage time effectively in a fast-paced environment and stay focused when faced with frequent interruptions.
- Comfort using different software programs and ability to become proficient with our online registration system, Active Network's Camp and Class Manager platform (CCM).
- A positive, can-do, all-hands-on-deck attitude, as well as patience and flexibility.
- Demonstrated proficiency in Microsoft suite, primarily Excel, Word, and Teams. (Note: You may be asked to demonstrate Excel skills during the interview process.)
- Although not required, general Mac literacy is helpful.
- Compliance with current CU and public health guidelines surrounding COVID-19 safety and precautions.
- English language proficiency; Spanish language proficiency is a plus.
Hours and Schedule:
- This position is based at RL1 (1560 30th Street) on CU Boulder’s east campus.
- During the school year, a commitment of 10-15 hours per week is preferred. Scheduling and hours are extremely flexible.
- From mid-May through early-August, a full-time commitment of 32-40 hours per week is required. There is some flexibility with the full-time start and end date for CU students.
Summer 2026 details:
- The 2026 summer camp season will run from June 1–July 31, 2026.
- Typical hours during this timeframe are Monday-Friday, 8/8:30am-4:30pm daily.
